How to record a Teams meeting (step by step)

1. Join or start a Teams meeting. 2. Click the three-dot menu (More actions) in the meeting toolbar. 3. Click "Record and transcribe" then "Start recording." 4. A notification appears for all participants that recording has started. 5. To stop, click the three-dot menu then "Stop recording." 6. The recording is saved to OneDrive (non-channel meetings) or SharePoint (channel meetings). 7. A link to the recording appears in the meeting chat.

Who can record a Teams meeting?

By default, meeting organizers and people from the same organization can start recording. Guests and external participants cannot. Your M365 admin can further restrict recording through meeting policies in the Teams Admin Center.

Where are Teams recordings saved?

For non-channel meetings: the organizer's OneDrive, in a "Recordings" folder. For channel meetings: the channel's SharePoint document library. Recordings are stored as .mp4 files. By default, recordings expire after 120 days.

AI meeting summaries: better than recordings

A 60-minute recording takes 60 minutes to re-watch. An AI summary takes 30 seconds to read. Tools like CallScrib read the Teams transcript after the meeting ends and produce a structured summary posted directly to the meeting chat within 60 seconds. No bot joins the meeting.

What to do when you can't record

If recording is disabled for your role: Ask your admin to enable transcription. It's less invasive than recording and still captures everything said. Use an AI tool like CallScrib to turn transcripts into summaries automatically. For non-Teams meetings, the CallScrib desktop app captures meetings from any platform.
